NPE PTO Executive Position Descriptions

  1. Board Position - 

    1. Co-Chairs (2)-

      • Bylaw requirements: 

      • Chief executive officer of the PTO

      • Responsible for appointing chairpersons of Standing committees and Special Committees each year

      • Submits plans to Principal

      • Must stay on the year after term as a resource person, non-voting position

      • Serves on the Finance Committee 

      • Date(s): One year term beginning with school year, but involvement could start earlier. 

      • Time Commitment: Attend and run monthly PTO meetings. Coordination of meetings, committees, intermediary with Principal and related emails and meetings between 5-10 hours a month. 

    2. Co-Vice Chairs (2)

      • Bylaw requirements: 

      • One year as Vice followed by a commitment for one year as Chair

      • Assists Chair

      • Serves on the Finance Committee 

      • Date(s): One year term beginning with school year, but involvement could start earlier. 

      • Time Commitment: Attend monthly PTO meetings, collaborate on plans for committees, and events, assist with committees who have no named chair. 

    3. Treasurer – Receiving  

      • Bylaw requirements: 

      • Collects and deposits all money

      • Keeps bank receipts along with detail records of amounts deposited

      • Submits information timely to Treasurer for record in financial system

      • Member of Finance Committee

      • Date(s): One to two year term beginning with school year, but involvement could start earlier. 

      • Time Commitment: Attend monthly PTO meetings, facilitate check deposits, maintain Paypal and other payment method accounts, approx 5 hours/month?

    4. Treasurer 

      • Bylaw requirements: 

      • Keeps full and accurate financial records (Maintains current financial system QuickBooks)

      • Presents financial records at regular PTO meetings

      • Issues checks in accordance with approved invoices and memos

      • Submits financial records to independent CPA on an annual basis

      • Is the chairperson of the Finance Committee 

      • Date(s): One to two year term beginning with school year, but involvement could start earlier. 

      • Time Commitment: Attend monthly PTO meetings, provide updated budget on request, reconcile books, coordinate annual review, coordinate check signatures etc (5-10 hours/month?)

    5. Secretary  

      • Bylaw requirements: 

      • Keeps minutes of all meetings

      • Posts minutes on PTO bulletin board

      • Conducts correspondence (emails) for the PTO

      • Maintains a file of essential records for 3 years

      • Member of the Finance Committee 

      • Date(s): One to two year term beginning with school year, but involvement could start earlier. 

Time Commitment:Attend monthly PTO meetings, provide updated budget on request, reconcile books, coordinate annual review, coordinate check signatures etc
